Job Overview: The Receptionist at Extended Hands Home Care Agency serves as the first point of contact for clients, visitors, and employees. You will be responsible for managing the reception area, answering phone calls, handling inquiries, and providing administrative support to various departments. This role requires excellent communication skills, a warm and professional demeanor, and the ability to multitask effectively.

Key Responsibilities:

  • Greet and welcome clients, visitors, and employees with a friendly and professional demeanor.

  • Answer and direct incoming phone calls, take messages, and provide information as needed.

  • Manage the reception area, ensuring it is tidy, organized, and well-presented.

  • Maintain a visitor log and issue visitor badges when necessary.

  • Handle incoming and outgoing mail and packages, including distribution to appropriate departments.

  • Assist with scheduling appointments, meetings, and conference room bookings.

  • Provide administrative support, such as data entry, filing, and photocopying, as needed.

  • Keep track of office supplies and place orders as necessary.

  • Maintain and update contact lists and phone directories.

  • Collaborate with other departments to ensure a seamless flow of communication and information.

Qualifications:

  • High school diploma or equivalent.

  • Proven experience as a receptionist or in a customer service role is a plus.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Friendly and welcoming personality with a professional appearance and demeanor.

  • Strong organizational skills and the ability to prioritize tasks effectively.

  • Proficiency in using office equipment, including multi-line phone systems and printers.

  • Basic computer skills, including knowledge of Microsoft Office (Word, Excel, Outlook).

  • Ability to maintain confidentiality and handle sensitive information discreetly.

  • Strong problem-solving skills and the ability to adapt to changing situations.

  • Punctuality and reliability are essential.

Job Type: Full-time

Salary: Up to $18.00 per hour

Expected hours: 30 or less per week
